About these terms
Bong Bhromon Tours is a tour and travel company based in Kolkata, West Bengal. In these terms, "we" and "us" mean Bong Bhromon Tours, and "you" means the person making the booking and everyone travelling under it.
By confirming a booking with us, whether by email, phone, WhatsApp or the enquiry form on this website, you accept these terms on behalf of every traveller in your group.
02
Bookings and confirmation
An enquiry is not a booking. A booking is confirmed only after we receive the advance payment and send you a written confirmation with the itinerary, hotel names and inclusions.
• Names, ages and ID details must match the documents you will carry while travelling.
• Rates quoted in a proposal are held for a limited period and may change if hotels or transport revise their rates before you confirm.
• Rooms and vehicles are subject to availability at the time of confirmation, not at the time of enquiry.
03
Payments
Unless your confirmation says otherwise, an advance is payable to confirm the booking and the balance is payable before the journey begins. Peak-season and high-altitude trips may require a larger advance because hotels ask for full prepayment.
• Payments can be made by bank transfer or UPI to the account named in your confirmation.
• We do not accept payment to any personal account other than the one stated in your confirmation.
• Applicable GST and any statutory levies are charged in addition to the tour cost unless stated as included.
04
Cancellation and refunds
Cancellation requests must be sent in writing by email or WhatsApp from the person who made the booking. The date we receive that request is the cancellation date.
Refunds are calculated on the tour cost after deducting non-refundable amounts already paid on your behalf, such as hotel prepayments, train or air tickets, permit fees and vehicle advances. Refunds are processed to the original payment source and usually take 7 to 14 working days.
• Cancellations closer to the travel date attract higher charges, as stated in your confirmation.
• No-shows and unused services during the trip are non-refundable.
• Train and airline tickets are refunded strictly as per the operator's own rules.
05
Changes to your itinerary
We may need to change hotels, the order of nights or a route because of road conditions, snowfall, landslides, strikes, permit restrictions or hotel overbooking. In such cases we arrange an alternative of a similar standard and tell you as soon as we know.
If you ask for changes after confirmation, any difference in cost, plus charges levied by hotels or transport operators, will be payable by you.
06
Permits, ID and restricted areas
Several places we plan for, including Nathula Pass, Tsomgo Lake, north Sikkim and the old Silk Route, lie in restricted or protected areas and need permits issued by the authorities.
We apply for these permits on your behalf, but they are granted at the discretion of the authorities and can be refused, suspended or withdrawn without notice. Permit refusal or closure of a road is not treated as a cancellation by us, and permit fees already paid are not refundable.
• Every traveller must carry valid original photo ID, and passport-size photographs where asked.
• Foreign nationals require separate permits and longer processing time. Some areas are not open to them at all.
• Nathula Pass is currently open to Indian nationals only and remains closed on certain days of the week.
07
Health, fitness and high altitude
Destinations such as Gurudongmar Lake, Nathula Pass and Zero Point are at high altitude, where oxygen is thin and weather changes quickly. You confirm that every traveller in your group is fit for the itinerary booked.
Anyone with heart, lung or blood-pressure conditions, women in advanced pregnancy, and very young children should take medical advice before booking a high-altitude leg. We may decline to carry a traveller to such a location on the advice of local authorities or drivers.
08
Our responsibility and its limits
We plan itineraries and book hotels, transport and services on your behalf. Those services are delivered by independent hotels, homestays, transport operators, guides and activity providers.
We are not liable for loss, delay, injury, illness, damage or additional expense arising from events beyond our reasonable control, including weather, landslides, road closures, vehicle breakdown, strikes, political unrest, acts of authorities or the acts and omissions of third-party suppliers. We strongly recommend travel insurance for every trip.
09
Traveller conduct
Please respect local customs, monastery rules, protected areas and the property of hotels and homestays. Alcohol and smoking are not permitted in many village stays and monastery premises.
If a traveller's behaviour endangers others or seriously disrupts the group, we or our local partners may end that person's arrangements without a refund.
10
Website content and photography
Photographs and descriptions on this website are indicative and may include images of the region rather than the exact hotel, room or vehicle allotted to you. Prices shown as "starting from" apply to the lowest occupancy and season.
