Who we are
Bong Bhromon Tours is a tour and travel company based in Kolkata, West Bengal. This policy covers information collected through this website, and through enquiries and bookings made with us by phone, email or WhatsApp.

Information we collect
We only ask for what a trip actually needs. Depending on how far your booking has progressed, that may include:
• Contact details: name, phone number, WhatsApp number and email address.
• Trip details: destination, travel dates, number of travellers, approximate budget and any special requirements you tell us about.
• Traveller details for confirmed bookings: age, gender and identity document details needed for hotels and permits.
• Payment references: transaction IDs and bank or UPI reference numbers. We do not store card numbers or UPI PINs.
• Basic technical data: pages visited and approximate location, collected in aggregate to understand which destinations people look for.

Why we need it
Your information is used to prepare a quote, confirm your booking and run the trip. Concretely, that means checking hotel availability, booking transport, applying for restricted-area permits, sending you the itinerary and vouchers, and reaching you while you are travelling.
We also use it to answer questions after the trip, to keep our accounts, and to send you occasional travel updates if you asked for them.

Identity documents and permits
Several destinations we plan for, including Nathula Pass, Tsomgo Lake, north Sikkim and the old Silk Route, require permits, and hotels across India are required to record guest ID.
Identity documents you send us are used only for those purposes, shared only with the hotel or authority that requires them, and not used for anything else. Please send them over WhatsApp or email directly to us and not to any third party claiming to represent us.

Who we share it with
We share the minimum necessary with the partners who deliver your trip, and with authorities where the law requires it. We do not sell your information, and we do not rent or trade contact lists.
• Hotels, resorts and homestays: guest names, ID details and stay dates.
• Transport operators and drivers: names, contact number and pickup details.
• Permit and government authorities: details required by the relevant office.
• Railway and airline booking channels, where we book tickets on your behalf.
• Payment and messaging providers, only to the extent needed to process a payment or send you a message.

How long we keep it
Enquiries that do not become bookings are cleared from our active records periodically. Booking and payment records are kept for as long as tax and accounting rules require, and are then deleted or anonymised.
WhatsApp and email threads are retained while your trip is live and for a reasonable period afterwards in case of a follow-up query.

How we protect it
Access to traveller records is limited to the team members planning or running your trip. Documents are shared with partners on a need-to-know basis, and payment details are handled through the banking and UPI channels themselves rather than stored by us.
No system is completely secure. If a breach ever affects your information, we will tell you and the relevant authorities as required.

Your choices
You can ask us at any time to tell you what information we hold about you, correct it, delete it, or stop sending you travel updates. Write from the email address or phone number you booked with so we can verify the request.
Some information cannot be deleted immediately where we are required to keep it for accounting or permit records. We will tell you if that applies.

Cookies and third-party links
This website uses only basic cookies needed for the site to work and to understand traffic in aggregate. You can block cookies in your browser settings; the site will still function.

We may update this policy as our services or the law change. The date at the top of this page shows when it was last revised, and a material change will be reflected here before it takes effect.
